Gower Galaxy Football Club (hereinafter referred to as 'the Club') is committed to providing a safe and positive environment for all children and young people involved in football. This policy aligns with the Football Association of Wales (FAW) Safeguarding Policies and Procedures.
1. Policy Statement
The welfare of every child is paramount. All children have the right to be protected from abuse, neglect, and exploitation. The Club recognises its duty of care to safeguard the welfare of all children and young people by protecting them from physical, emotional, sexual harm, and neglect.
2. Key Principles
• The safety and welfare of the child are the first considerations. • All children, regardless of age, gender, disability, racial origin, religious belief, or sexual orientation, have a right to protection. • All suspicions or allegations of abuse will be taken seriously and responded to swiftly and appropriately. • All staff, coaches, volunteers, and officials have a responsibility to safeguard children.
3. Safeguarding Officer
The Club shall appoint a qualified Club Safeguarding Officer (CSO), who has completed the FAW Safeguarding Children Workshop and holds an enhanced DBS check. The CSO will: • Be the first point of contact for all safeguarding concerns. • Ensure all members are aware of safeguarding procedures. • Liaise with the FAW Safeguarding Team when required. • Maintain secure, confidential records of safeguarding matters.
4. Safer Recruitment
The Club shall ensure that all coaches, managers, and volunteers working with children: • Complete an FAW-approved DBS check before working with children (ALL). • Attend FAW Safeguarding training (Safeguarding Officer).
• Attend Group A Training (ALL). • Are suitably qualified for their role (minimum FAW Leaders Award or equivalent) (Coaches and Team Managers). • Sign up to the Club’s Codes of Conduct. (ALL)
5. Reporting Concerns
If any member has a concern about the welfare of a child, they must: • Report immediately to the Club Safeguarding Officer. • If the CSO is unavailable or the concern relates to the CSO, report directly to the FAW Safeguarding Team or Social Services. • In an emergency, call the Police (999). All concerns will be taken seriously and handled in accordance with FAW Safeguarding procedures.
6. Responding to Allegations
The Club will: • Ensure allegations are taken seriously and acted upon immediately. • Follow FAW reporting procedures and work with statutory agencies where appropriate. • Support the individual who raised the concern and the child involved. • Take appropriate action against any member found to have breached safeguarding standards.
7. Codes of Conduct & Best Practice
All Club officials, coaches, players, and parents must adhere to the Club’s Codes of Conduct. Best practice includes: • Avoiding one-to-one situations with children wherever possible. • Using appropriate language and behaviour at all times. • Ensuring that communication with children is via official Club channels only. • Gaining parental consent for photography and video use.
8. Whistleblowing
The Club supports a culture where anyone can raise safeguarding concerns without fear of reprisal. Concerns can be reported confidentially to the Club Safeguarding Officer or directly to the FAW Safeguarding Team.
9. Review of Policy
This policy will be reviewed annually by the Club Committee and updated in line with FAW guidance.

Promote a positive and inclusive football environment.

3. Scope This policy applies to all players registered with the Club, across all age groups and teams. 4. Player Responsibilities All players must:
Respect Others – Treat referees, coaches, team-mates, and opponents with respect at all times.
Play Fair – Abide by the rules, avoid cheating, and accept match officials’ decisions.
Be a Team Player – Support and encourage team-mates positively, both in training and matches.
Attend Regularly – Arrive on time for training and matches and notify the coach if unavailable.
Care for Equipment – Look after any Club kit or equipment provided.
Be a Role Model – Represent the Club with pride and uphold its values.
Use Social Media Responsibly – Never post negative or offensive comments about team-mates, coaches, referees, or opponents.
Maintain a zero-tolerance stance on bullying.
5. Breaches of the Code Failure to comply with this Code may result in:
Verbal or written warning from the coach or team manager.
Meeting with parents/carers (for junior players).
Temporary suspension from training or matches.
Further disciplinary action in line with the Club’s Disciplinary Policy.

4.5 Social Media
Avoid posting negative or critical comments about players, coaches, referees, or the Club.
Respect the Photography & Video Policy when sharing images online.

4. Definition of Bullying Bullying is deliberate, repeated, and hurtful behaviour that causes distress to others. It can include:
Physical bullying – hitting, kicking, pushing.
Verbal bullying – name-calling, threats, insults, or racist/sexist comments.
Emotional bullying – excluding someone, spreading rumours.

Wherever possible, resolve concerns informally by discussing the issue directly with the person involved or with a relevant coach or Club official.
5.2 Formal Complaint
If informal resolution is unsuccessful or inappropriate, submit a written complaint to the Club Secretary or Chair via email or letter.
The complaint should include:

5.3 Investigation
The Club Committee will acknowledge receipt within 5 working days.

Ensure the health, safety, and welfare of all members.
Minimise risks by promoting good practices and following FAW and legal safety requirements.
Provide clear procedures for reporting and dealing with accidents or emergencies.

All Club activities, including training sessions, matches, tournaments, travel, and social events.

4. Responsibilities 4.1 Club Committee

Carry a fully stocked first aid kit at all sessions.

4.3 Players & Parents
Follow health & safety instructions from coaches.
Inform coaches of any relevant medical conditions.
Ensure appropriate footwear, shin pads, and kit are worn.
5. Risk Assessment
All training and match venues will be assessed for hazards before use.
Any identified risks will be reduced or eliminated where possible.
Unsafe facilities will not be used until the issue is resolved.
6. First Aid & Medical Provision
At least one qualified FAW First Aid for Football trained person will be present at all sessions.
A first aid kit will be available at all training sessions and matches.
Emergency procedures will be clearly communicated to coaches and volunteers.
Parents must provide up-to-date medical information and emergency contact details.
7. Accident & Incident Reporting
All accidents and injuries will be recorded in the Club Accident/Incident Report Log.
Serious incidents will be reported to the FAW and, if necessary, statutory authorities.
8. Emergencies In an emergency:
Assess the situation – ensure safety of others.
Call 999 for serious injuries or life-threatening emergencies.
Contact the parent/guardian immediately.
Complete an incident report after the situation is resolved.
9. Equipment & Facilities
All equipment will be checked regularly and replaced if unsafe.
Goalposts must meet FAW safety standards and be anchored securely.
Changing facilities will be kept clean and safe.

4. Acceptable Use
Use social media to promote the Club positively and share relevant news, results, and events.

4. Procedures
Parents/carers should inform the Club if they expect to be late collecting their child.
If a child is not collected within 15 minutes of the scheduled finish time, Coaches or volunteers will attempt to contact the parent/carer using provided emergency contact details.
If no contact is made within 30 minutes, the Club Safeguarding Officer will be informed.
The Safeguarding Officer may contact local authorities or social services if necessary to ensure the child’s safety.
5. Responsibilities
Coaches and volunteers will supervise the child in a safe environment while waiting.
Parents/carers are responsible for timely collection and updating contact details.

Ensure players and coaches have access to suitable, safe, and well-maintained equipment.
Maintain a consistent Club identity through approved kit design and colours.
Outline responsibilities for care and return of Club property.
3. Scope This policy applies to:
All Club kit, training wear, match-day uniforms, and equipment (balls, cones, goals, etc.).
All players, coaches, volunteers, and officials.
4. Kit Guidelines
Players must wear the approved Club kit for all matches and official events.
Any sponsorship or branding on kit must be approved by the Club Committee.
Personalised alterations to kit are not permitted unless authorised by the Club.
All Kit purchased by the club remains the property of the club and should be returned if the player/coach/volunteer leaves the club.
5. Equipment Guidelines
The Club will supply equipment that meets FAW safety standards.
Coaches are responsible for checking equipment before use.
Damaged or unsafe equipment must be reported immediately to the Club Committee.
6. Care & Responsibility
Players and coaches are responsible for taking care of any issued kit or equipment and ensuring this is returned if a player was to leave.
All loaned items must be returned at the end of the season or on request.
Lost or damaged items (due to negligence) may need to be replaced at the individual’s cost.
